Start up steps

We are so glad to have you on board!  

Here's a summary of the steps and tasks involved in your onboarding process.  

Champion

  • Your champion will receive a Welcome Pack from Creative Technology, containing a set of spreadsheets to populate.  
  • Return the completed spreadsheets to Creative Technology
  • Creative Technology begin to build your new Odyssey System using these completed spreadsheets
  • Training Session with Creative Technology
  • Have a discussion with Creative Technology regarding the structure of your new trip codes
  • Get started with populating your system:
    • Populate your own Provider pages with Products they sell and this season's rates (wholesale and retail)
    • Set up Provider locations for your depots
    • Bike sizes  Resources | Bikes | Bike Models and rates - Check that each model of bike that you provide is in Odyssey, and for each Bike model enter sizes in the sizing grid, seasonal rates, check what trail they are on, and enter any specifications
    • Check accessories and extras for accuracy
    • Check Equipment for accuracy
    • Routes - ensure all shuttle vehicles and runs operated by your business are entered, along with rates and rate labels
    • Set up provider 
    • Create a Master trip record for every trip product that you sell, including all costs, providers, movements, etc.  
    • Create new Departures and Bookings based off each master, and double check for accuracy against bookings in your old system.  In particular we recommend that you look at the Departure | Finance Details Tab, and double check that the figures are accurate and there are no red flags highlighting a discrepancy
    • (Optional) Begin the process of entering bookings held in your previous system, and then double check those entered by the Reservation team (below)
  • Identify the marketing? person who will create your email templates

Marketing 

  • Training Session with Creative Technology re Mail Jet templates

Reservation & Admin Team

  • Training for the Reservation & Admin team in Odyssey
    • Reservation team to begin entering new bookings into Odyssey
    • (Optional) complete the process of entering bookings held in your previous system
    • Admin team to begin recording payments made in Odyssey and releasing trips to the Depot

Depot Team

  • Training session with Creative Technology
    • Depot team to begin using the manifests etc
