Tour | Booking Settings - Tour Settings



This defines multiple settings used for Tours and Bookings:


There are two pages of Tour Settings. Tour Settings #1 and Tour Settings #2



  • From the Main Menu | Admin | Tour | Booking Settings - select Tour settings

Provider Itinerary Text


When the switch is set to black:

When editing the itinerary:

  • The PROVIDER itinerary notes text and PROVIDER PRODUCT text are both copies, and can be edited to allow for personalisation. The text entered at Itinerary level does not update the actual Provider records.
  • The Departure Provider and Product content is populated at the time the record is made, and remains independent from the Provider.

In the Provider Notes for Itinerary, when the switch is set to black

After the departure is made these provider records do not remain live, they will not reflect any changes made here They can be individually refreshed from each Departure record if/when that is required.

When the switch is set to orange:

When editing the itinerary:

  • The PROVIDER itinerary notes text cannot be edited. Any edits must be done on the actual Provider record. (FYI, funnily enough, thatโ€™s what I wrote to you in the thread originally, but then I got confused and changed it!)
  • The PROVIDER PRODUCT itinerary notes text is a copy and can be edited, to allow for personalisation

In both cases:

  • Each Departure's Provider itinerary notes text can be individually refreshed from the Provider record
  • The Provider Product itinerary notes text is displayed under the Provider text on the Itinerary

Record Booking Level Provider Status (In addition to tour level)


With the on/off slider set to orange (on)

  • Tour Provider status is the only status recorded displayed

With the on/off slider set to black (off)

  • Booking Provider Status for exceptions can be recorded


Bag


With the on/off slider set to orange (on)

  • External Bag Contractors are used for bag movements

With the on/off slider set to black (off)

  • Our clients use their own vehicles and staff for for bag movements


Provider Drop Down lists


Some larger Odyssey clients may have very long Provider lists; for these clients, they can specify which trail the provider is on, and then turn the Full Provider List setting off. This means that their provider lists will then be filtered by the trail, and also a a new tickbox will appear beside the provider drop down lists, to optionally view all Providers, regardless of trail.




Tour Setttings #2






When Storing an Itinerary, AUTOMATICALLY push the contents to the OdyTrips Mobile App


With the slider set to Orange, Odyssey will automatically push the Itinerary to the OdyTrips app every time an Itinerary is stored




Import Bookings - Join Existing Tours /Create a NEW Tour - default setting


With the slider set to orange, when a client uses the import bookings feature, any new booking will automatically Create a New tour by default




Client Booking/PAX automatic SMS default


With the slider set to black, every client is excluded from the automated sending of SMS messages, requiring each client to be manually added by the tick on their "include in SMS automations" tickbox on their Booking | Personal | Contact tab


With the slider set to orange, every client with a mobile number will automatically be included in SMS automations.






Booking Form - default Settings


With the slider set to orange, the Output of the Booking Form will default to being client based

When it is set to black, the default Output of the Booking form will be tour based.

This setting can be overridden on each individual tour.




Transfer movements or Scheduled Shuttles


This determines which of the two options is the default when opening the Tour | Movement tab - either Transfer (Custom) movements, or Scheduled Shuttles
