New Seasonal Records - Rates

Creating rates records for a future season

Prior to any operational season starting, there are a series of areas within Odyssey that require data entry fields to be created, so they can be managed / entered / updated as required.

Odyssey has several automated processes to help streamline this.  


1.  Create a New Season

2.  Create new seasonal RATE records


All of your existing rates records relate to current or previous seasons.  New RATE RECORDS for your newly created season need to be created, and this can be done manually on each appropriate page (see 2b below), or by using the en masse function (see 2a below)

2. a)  Mass selections - Rates

Creating these new season records can be done en masse, including making refinements or by individual selections to tailor the final records.  This is very useful to reduce the number of manual modifications that might be required when preparing new records / values for the coming season.


En masse seasonal rate records are available for these functions:

  • Provider rates - (Retail & Wholesale) - eg: Accomodation / Activity / Transport / Meals / Other
  • Movement rates - eg: Luggage / Bikes / PAX / Vehicles
  • Run rates - eg: Shuttle Times and direction
  • Asset rates - eg: Bikes
  • Extra rates - eg: Panniers / Personal Locator Beacon

Alternatively new seasonal records can be made from each of the individual Provider, equipment, run or movement record. See 2 b) below.


To make new seasonal records en masse:


  • From the Main Menu go to Admin | Seasons | New Seasonal records screen

  • Click each of the RATES options listed, one at a time, and work through the process to refine the selections described below

Duplicating Seasonal Provider rates

  • Select the From and To seasons from the drop down lists
  • Tick the Delete any existing records tick box, if you wish the automated process to automatically remove any manually (or automatically) created existing Provider rate records for the new season.
    • If you leave the box unticked, the existing records don't get deleted, they remain place alongside the newly created rates. i.e. if you are creating a new season rate for Abbey Court motel for the 24-25 season, based off the 23-24 season, and applying a 3% increase, but you already have manually entered a rate for that season for that provider, will there be TWO seasonal records for the Abbey Court motel for that season. The notification for the newly created 24-25 record will be 365 dates later than the 23-24 record. Which rate gets applied to your booking will depend on the NOTIFICATION DATE.
  • Refining the settings during the duplication

    During the duplication process, it is possible to make modifications to the rate values by making a selection to alter the rates.


In the example above: Adding 4% to each Rate, for ALL Accommodation Providers, when the new season records for the 21/22 season are created.   Optionally, leaving the Provider Type blank, will create new records for ALL Provider Types at once.  All with the same alterations being made to their specific rates.


Options available to alter the rate during the duplication process:

  • NONE - No Change
  • ADD - a Fixed Value
  • ADD - a % Increase
  • SUBTRACT - a Fixed Value
  • SUBTRACT - a % Decrease

2. or b) Individual selection


If an en masse creation of rates isn't desired, then flexibility is available to create New Season records for a specific : Provider / 'Trip' / 'Bike' / Extra / ' Shuttle', by using the button on the page for that specific record.  

Example: E-Bike - Only this model will have new records created.  These new rate records can be tailored to suit, with rate selections that will effect this model only.
