Why isn't the Provider's rate coming through on my Departure

Q:  Why isn't the Provider's Rate being pulled through to my Departure, even though I know for certain there is a rate on the Provider | Product | Rates screen?

Firstly, for a rate to be pulled through to a Departure, or a Booking record, the Provider | Product | Rate has to be set up.  Learn more about that here.

If there is a seasonal rate for this product, then the issue could be to do with the Notification Date.  Read on....

A:  Check the Notification Date

It helps to remember that Providers rates are not just seasonal (21/22, 22/23, 23/24 etc), but they also have a notification date.  (This is the date your business was first told about the new rate)

A Departure is for a certain season, and so are the rates.  If the booking was made prior to a Notification date for any rates entered for the season that matches the Departure, then NO rate will display... 

This concept is very valid... It's unfair to alter prices if a Booking is already made, and the Provider THEN advises of a price change.  Their new advised rates can ONLY apply to new bookings made AFTER their notification date.

This function was used a lot around COVID time/s when Providers were altering their rates. 

Options:  

  • Use the Override button to enter a Price/Rate that you want it to be.
  • Have the Provider Rates updated internally to cater for this Booking Date/Provider Notification combination
  • Finally - this suggestion has other Reporting ramifications, so is not advisable... If you want to apply the new seasons's rate, regardless, then change the booking date to be AFTER the notification date, and click 'Charge' again. so that it gets updated. It is then able to pull thru the new rate.
