How to use Xero integration with Odyssey
Xero Integration is an Advanced Module
Once Xero has been integrated with Odyssey, the following functionality is possible:
- Pushing of Odyssey's Booking level Client record + Charges|Discounts to create an Invoice in Xero, done on a booking-by-booking basis. This is best suited to operators using the Charges & Discounts as their client pricing model, rather than Odyssey's 'Quoted' pricing model. At the time of writing, other changes such as those for movements, accommodation, etc, are not pushed through. This is tagged for future development.
- Pulling of payment information from Xero to Odyssey, creating payments on the payments tab within Odyssey.
There is some set up work to be done initially, learn all about the connection and set up steps here
All transactions to Xero are made at Booking (PAX) level.
Manually Pushing Charges/Discounts to Xero
Charges and Discounts made in Odyssey can be manually pushed into Xero.
- From the Main Menu | Departure | Booking | Finance | Charges and Discounts, click the Xero Push Costs button
These charges will automatically be pushed through to Xero.
- If the client record is not already set up in Xero, the client will be created in Xero
- If the charges have already been pushed through to Xero, the invoice in Xero will be updated with any new or changed charges, as long as the invoice has not been paid
- the Booking record will be updated to show when the last Push of Costs occurred
Payments
Any payments made by your clients into Xero can then be pushed manually into Odyssey to keep the financial records up to date.
In Xero, you could either manually create a payment, or use the bank reconciliation feature to assign the payment to the invoice that has been created
- In Odyssey, from the Main Menu | Departure | Booking | Finance | Payments tab, click the Xero Pull Payments button
On closing the payment record window, the balance owing by this client will automatically be recalculated.
Please discuss with us the process for a scheduled daily push/pull to Xero. The push and pull buttons can still be used manually to refresh individual bookings.
Tips:
Yes, you can change your client names in either Odyssey or Xero, as the link between the two is actually an underlying "ID" record, so no harm will be done changing them!
