How to manage guide rosters using Connecteam

Connecteam is an Advanced module


This page assumes you are already familiar with how to add and manage Guides in Odyssey, and are now ready to sync your Guide rosters (shifts) to Odsssey's Advanced Rostering tool, Connecteam.

Pushing a guide "shift" to Connecteam


  • In Odyssey | Main Menu | Tour | Resources | Guides
  • Your guide/s will already be assigned to the tour
  • Because your company has the Connecteam advanced module, there will be a button beside the guide name
  • Click the button that says "Push to Rostering" on any guide record, to push the guide assignment to Connecteam

In Connecteam


  • These guide shifts (for the five days of the tour) have now been pushed to the Connecteam Roster.  They are currently unpublished, so that the Depot Manager can review and confirm the rostering schedule.  This process is known as Publishing.

The guide's shifts for all 5 days have been added, unreleased, to Connecteam Roster. This view shows Days 1-3
  • Click the calendar > arrow to navigate to the next week, to see the next two days, as these were five day shifts that we pushed

Days 4 and 5 of the Guides shift have been sync'ed to Connecteam
  • Guide records are defined as being full day records, so there is a little moon shaped icon on each entry, to indicate that this will take a whole day.
  • Also note the pink field on the calendar, where a Guide (Freddy) has marked himself as unavailable on that day.  Team members can advise Connecteam that they are not available for defined periods, inside their app.
  • Staff members can have more than one shift per day, depending on the time and duration of each shift. They can also be overlapping, if that is appropriate.

If you are happy to confirm these shifts, either:

  • Right click on each shift individually, and select Publish
  • or click the Publish button at the top right, to
    • Once you are happy with the new rostering schedule, either Publish individual records, or click the Publish button at the top right

  • when a shift is Published, the team member is notified by email, and through the app on their phone, and the Rostering calendar is automatically updated in their Connecteam app.  The user does have an opportunity to accept or decline the shift.

If the Roster needs adjustment

In our example,

  • Freddy's previously assigned briefing shifts now clash with the days we want him to be guiding
  • Murph's previously assigned briefing shift and bag run now clash with the days we want him to be guiding

The new Guide shifts now clash with previously assigned tasks for briefings and bag runs

  • Simply drag and drop those briefings and bag runs that had been assigned to those Guides, to another team member
  • Remember to Publish the changes, once you are satisfied with them.
    • You can publish individually by clicking on the Publish button on each entry, or alternatively, Publish all from the Publish button at the top right of the window
