What is the Communicator field for?


This option is only used for Odyssey clients who use Cognito Forms, and wish to gather client data - In this instance using the Client Details Form.



How does it work?


The Communicator field is designed to handle the situation where, you have names of all of the clients booked on the trip, but in some instances, a couple shares an email address. Or perhaps you only have the email address of one "organiser", and he is doing the early communications on behalf of the entire group, so you don't have their email addresses.

  • From the Cognito Forms Communicator drop down list, select a communicator for each client (and for the person who is communicating on behalf of others).
  • By nominating a "Communicator" for each client, one email can then be sent to the communicator for EACH booking, e.g. in this instance above, Mandy will receive 3 emails, one for each person who she is communicating on behalf of. Each email will have a unique button link to the individual client's Cognito Form for them to complete their personal details online
  • The text in this email could say "As we don't have contact details for the following members of your group, would you kindly click on the link for each person below, and add as many details as you can, so that we can contact them separately?"
  • Once an email address has been received for a client, they will get an email tickbox on the next sequence in the email flow, and should be reminded to check their form details.

This list is created by using a new MergeTag in MailJet, L4CommsList, and creating a condition on the section so that the section only appears if this email recipient is a communicator for other people.

Tip: The Cognito Form that the client signs can contain a tickbox to say they client has read and agrees to the T&C's. In order to prevent the Communicator signing those T&C's on behalf of someone else, the form can have a field at the top to say they are completing this form on behalf of someone else, and that will hide the T&C's field on the form.
