How to add or select a different Provider to your Tour
To add a New provider record to a Tour
- From Tour level, click the + Accommodation button

- On the Choose a Provider tab:
- Choose a Provider by Name, or
- Choose a Provider by Location
- You will be prompted to check if it is the correct provider, click YES to proceed
Change the Provider Product
If you wish to change a Provider Product for one client, or multiple clients on a tour:
- From the Main Menu | Tour | Provider/Supplier | Accommodation select the appropriate day from the list of Accommodation Providers ( or use the < > to navigate to it if you are inside the pop up menu already)
- then choose the Details/Defaults tab,
- and click on the Change button beside the Supplier's name
- Select either by Name or Location
- then click the first letter of the location, or Provider name you are seeking
- then select the Provider you wish to switch to
- You will be prompted to continue, if this is the correct supplier to be switched to. Click Yes

- You will then be reminded to make selections for Product, Rate and PAX Per room, Click OK

- Make the appropriate selections to Suppliers Product, Default Product Rate, and Clients per room

then click Apply to Bookings, if you wish these settings to be applied to existing client bookings on this tour.
NOTE: It is only the fields that have a green semi circle beside them, which will push to the client bookings.

- You are then presented with two options:

Click KEEP previous Rate and per Room choices, if you wish the existing clients to retain their existing Rate and Per room choices (but change the room product)
OR
-
Click REPLACE ALL, if you wish the existing clients to have their existing Rate and Per room choices, and room product updated

- select an individual client, and Choose the replacement PRODUCT from the Provider's list of Product options

To delete a Tour level provider:
- From the Main Menu | Tour | Provider | Accommodation record
- select the Provider record you wish to delete
- Click the name of a client - to open a pop-up window

- Click the DELETE button
- (repeat as required, till all are removed)
- Then the ‘Delete’ button under Room Sharing on the main menu will allow you to delete the entire Tour level record.
To change an existing Provider on a Day
- From the Tour | Provider | Accommodation tab | select the provider you wish to change

- From the Details/Defaults tab, click the Change button
- Select either by Name, or by Location
- then click on the first letter of either the name of the provider you are looking for, or the location you are looking for

- If you wish to continue, click Yes

- Then you will be promoted to make selections for the Product, Rate and PAX per room fields, click OK


- Once you have made your selections, if you wish existing bookings to have these same settings, click the Apply to Bookings button. You may prefer existing bookings to retain their previous settings; if so, do not click apply to Bookings.

Click the KEEP previous Rate and Per Room choices, if you wish existing bookings with this provider to retain their selections of 1 PAX, 2 or 3 PAX per room, etc
OR
- Click REPLACE all if you wish all existing bookings with this provider to be updated with the new PAX per room
NOTE: If an accommodation provider has been changed, the Tour | Details | Notes | Suppliers Change tab will list sequentially any changes made, along with the name of the user who made the change, and the date and time the change was made.
