Create and Manage Guides
A tour guide is a person who leads and provides information to individuals or groups on your organized tours. Their main job is to ensure the safety of your guests, and give them a smooth and comfortable travel experience, while also informing them about any historical, cultural, or natural attractions.
Note: if a Guide is also a Driver, then a unique staff record will need to be created for each role.
To create a new Guide record:
- From the Main Menu | Resources | Guides | Staff menu, choose Guide List

- Click the New button
- Complete the Guide's personal details:
Details tab: Personal details such as first name, last name, preferred name, and contact details, including a space for you to record Office Notes on this guide, such as their areas of expertise, or availability.
For Guides, as well as regular clients, there is a field called Preferred bike, which allows you to specify the person's bike preference.
Then, when this guide is added to a Tour, the Guide's bike preference will automatically be visible. There is no automation involved here, the user still needs to select this bike preference from the drop down list, and create the daily records.
Personal Tab: contains fields for Date of Birth, and address
Licence|Certificate: Provides spaces for you to enter drivers licence details and expiry dates, and first aid details.
Medical: Provides space for you to record Medical conditions and medication, blood type, dietary requirements and comments, fitness, weight and height details
Emergency: Provides space for you to enter up to two sets of emergency contact details
Bookings: Odyssey automatically lists any tours this Guide has been assigned to
Communications: Odyssey lists any emails sent to this Guide.
