Tour / Departure - Daily Content

Locations


The details from the Master have pre-populated this screen with each day, the date, the starting district and the end district.   

  • Daily locations are used in the commentary in the Itinerary.  
  • Daily locations have the advantage of filtering all of your provider drop down lists for that day, to that location, so that your lists are shorter and easier to work with.
  • Daily locations are the start and end locations for each day of the adventure.  Storing these shortens location / date based drop-down lists, so that only relevant options are presented to the person making the reservation.   This reduces scrolling time for reservations staff to find eg: a specific Provider, if needing to change one - because rather than needing to trawl through all (countrywide) providers, the Provider drop down list is narrowed down to only the providers on this Daily Location.  
  • The Daily Locations tab also enables you to add extra days to the duration of your client's adventure, either at the beginning, middle, or end of the trip.  Add a "minus day" e.g. "Day -1" to the start of the trip, if the client wants a shuttle transfer or a night's accommodation booked the night before the adventure starts - this has the advantage of leaving the Day 1 as the actual start date of the adventure.

To  add another day to this departure, click on the + button underneath the last day number, and a dropdown list will appear.   Choose the next appropriate  'Day' number from the list.

'x' District Start ➞ 'x' District End

These fields are purely for Client communication, for example it could be used on their itinerary or other communication with clients. It does not effect any data filtering. Note: the first part of these two field headings will be populated by the Terminology used / selected by your company. Eg: It could say: Bike / Kayak etc ...

Distance

Use the double arrow button to have Odyssey populate the distance field, between each location.  This information is used in the itinerary communications with the client.  Based on the Location names and their Latitude / Longitude values, the GoggleMaps API Distance calculation will populate the 'Cycling' & 'Metric' (road) distance between these two points.  Note that this field is editable, so it is possible to replace any of these distances with different values, if that is required - for example, you could enter the number of k's on the cycle trail between these two points, not the road distance.     Learn more about Lat long values Here

Accommodation

Whatever accommodation has been booked (at booking level) for each date will automatically display here, up to two providers on each date.  This field is being used to provide Depot level screens and reports a summary of which providers are being used on this departure.
Enter a bike district start and bike district finish location; these are also used in the itinerary, as the accommodation might be in a different location. 

If you have messed this screen up, and want to start the whole thing again, hit the 'start over' button,  

Then click the '+' button to create the corresponding number of records to match the number of days of this [ Departure].
