Departure/Emails
  • Departure (Tour) based emails are sent from each individual Departure (Tour) tab

  • Bulk emails to Providers regarding multiple scheduled departures (e.g. Pre Season bookings) are sent from the Provider list


Comms Content


The Comms content field is used to display and edit text which can be pulled into email communications with clients and providers.


The content here has been populated by the Comms tab on the Master this Departure was based on. Learn more about the Master Comms tab Here



URL's /Websites


Departure | Emails | Comms Content | URL's

The 7 x URL link fields are spaces for you to insert URL's llnks to your website pages; these could be your package details, or RidewithGPS map links, etc, which can be used on buttons in email templates, when communicating to providers or clients who have bookings based on this Master.  


The label descriptions (e.g. Ride with GPS) used in the screen shot above are all able to be edited by our clients, in Company Settings | Your Labels.


At Departure level replace the {{variable}} text with the specific URL content. If you don't replace this field with the specific new URL content, then this field will not get pushed through to emails. In order for the URL content to work in an email, a tiny URL is created and added to the right hand side of this field, immediately before the email is sent. If you get as far as ALMOST clicking the send button, and the tiny URL hasn't been created, then the URL link is not going to work on the email. See Creative Technology.


URL field 1, Product Details

use this URL for a product from your website, e.g. www.mywebsite.nz/swiftandsiginficant.html


URL field 2, Product Downloadable

use this URL for a downloadable product from your website


URL field 3, Ride with GPS

is automatically populated by Odyssey, when a user clicks the "Used as an email link button" on the Map URL field on the Departure level Daily | Directions | Daily Map Route button. This enables clients to push a Map Route generated by apps such as MapMyRide, to a link in an email for those riders who don't use the Ody Trips App

URL field 4, Survey

use this URL for a survey app, e.g. www.surveymonkey.com/{{variable}}

At Departure level, replace the {{variable}} content with the actual description of your company's survey link. If you don't replace this field with the specific new URL content, then this field will not get pushed through to emails.


URL field 5, Photo Sharing

use this URL for a photosharing tool, such as www.bublup.com/{{variable}}

At Departure level replace the {{variable}} text with the specific URL content. If you don't replace this field with the specific new URL content, then this field will not get pushed through to emails.



URL field 6, WhatsApp - Social Media

use this URL for a social media app, e.g whatsapp.xxxxx; this is quite a useful way for Guides to keep in touch with their group when they are out cycling


URL field 7, Meal Link

use this URL for a meal product or menu from the Provider's website, e.g www.flashhotel.com/finediningmenu.html



Starting/Meeting


These fields contain data which can be used in email communications with your clients, and are designed for you to be able to manage very clear communications about where their adventure starts, including the time, location, and add some general "Your trip begins here" text.

Start/Meeting Time allows you to set a specific time of day that this Tour starts, for inclusion in email communications

Start/Meeting Location allows you to set a specific Location (from your own drop down list) this Tour starts, for inclusion in email communications

Region/Province allows you to define the general area you are travelling in, for inclusion in email communications

The  Starting /Meeting field is a freeform field for you to insert your own description of the meeting location, for blocks of texts to be incorporated into various email templates. e.g. this could say "The tour meets at our Twizel Depot, where you can leave your car in secure storage if you have arranged this. Our briefing will be held in the garden area at the back of the office. Please be wearing your cycling gear at the meeting point.



End/Finishing

These fields contain data which can be used in email communications with your clients, and are designed for you to be able to manage very clear communications about where their adventure ends, including the time, location, and add some general "Your trip ends here" text.

End/Finishing Time allows you to set a specific time of day that this Tour ends, for inclusion in email communications

End/Finishing Location allows you to set a specific Location (from your own drop down list) this Tour ends, for inclusion in email communications

The  Ending/Finishing content field is a freeform field for you to insert your own description of the ending location and details of the end of the tour, for blocks of texts to be included in email templates. e.g. this could say e.g. The tour finishes at our Oamaru Depot. For those who wish to be returned to the Twizel Depot, you will be picked up at 3pm from our Oamaru Depot, and driven back to Twizel - approx a 2 hour drive. If you have had your car relocated to Oamaru, your car will be ready for collection to enable you to move on to your next adventure.


Grading

The Grading field is a freeform field for you to insert your own description of the grading of the trip, and the fitness level required, for text which can be included in email communications



Booking Content


These fields are lists of data which have been compiled from booking level data on this Departure/Tour, and this data can be included in email communications to clients and providers.
