Tour / Departure - Bookings

Bookings
At Tour level, the clients who are booked on this tour are listed on the Right hand side of the screen.

Tour | Bookings | Client Bookings
By navigating to the Tour's Bookings tab on the left hand side, you are able to view and manage Booking level records

Bookings (or Passengers) are the clients who are joining this Departure.
They can be added in a variety of ways:
- by clicking the + booking button
- at the time of creating the departure, by adding multiple bookings
- by clicking the + multiple button (coming soon!)
The Tour | Bookings | Client Bookings list shows
- the status of the booking (whether it is confirmed, cancelled, on hold etc),
- the Client name and reference number,
- the price they have been charged, the amounts paid and owing, and office notes.
- If the Equipment waiver form has been completed, that will be indicated
The full details for each booking can be displayed by either clicking on the specific booking you are interested in viewing, see below:
Managing booking level records
By clicking on a Booking name (i.e. a client booking) you are taken into the Booking Level of a Tour. See in the example below, that the client booking name is now at the top of the screen, in a peach colour banner.

Bookings - en masse
- From the Tour| Bookings | en masse tab
- A quick and easy way to populate client details, is to move to the en-masse page.
- Here you can quickly enter first and last names, email address, mobile number, and the client's height, as well as use the fill down command, to automatically populate records.
- Clicking on the "Extra" radio button will enable you to complete the fields for Nationality, Experience, How did you hear, Booking Method, Agent/Operator name, and the Agent Additional Reference field.
- This en-masse feature is especially helpful when you have added multiple bookings to a new departure, and also for checking that you have entered all the required client details in one departure. A coloured dot has been beside the booking name indicates the status of each client's booking, e.g. confirmed, cancelled, on hold.
Connections

Connections relates to
a) room sharing, i.e. who is sharing with who, and
b) nominating a payer, and
c) for Odyssey clients who use Cognito Forms, nominating which person is being the communicator for another person. (used when you don't have an email address for each client)
