An overview of the emailing function



The ability to create beautiful, company branded email communication with clients and providers is achieved with the integration of Odyssey data and a 3rd party email provider - MailJet.com

  • This functionality allows you to create and edit your own graphical email templates, all linked to live Odyssey data, eg money owed, bike size required, departure dates.
  • Email templates can be time based & monitorable to ensure emails are sent when required, eg 30 days out from departure
  • Visual tracking display of emails

There are multiple steps in the process of setting up, and using email functionality.  This page documents the flow of tasks, and heads you to other more specific Help Scout pages as required:

 1.  Before you begin

Your emails are built and sent in MailJet.  MailJet's Passport is an easy-to-use editor that helps you create your transactional emails in a responsive format. 

Creative Technology will:

  • Create an account for you with MailJet, and advise your domain host how to configure your SPF and DKIM records in order to allow authentication of MailJet as an authorised sender.

  • Set up an API Connection for you from Odyssey to MailJet via Company Settings | API Technology Settings.  Learn more about this API connection Here



 2.  Create email templates in MailJet

Now you can begin to build your email templates, in MailJet

Creative Technology do not create your templates for you, your own marketing champion will do this.  But we can provide assistance if you get stuck, or something is isn't working as it should.

Building a template in MailJet

Templates are the standard emails that your business sends.  

You can create and save up to

10 x Customer service email templates (e.g. booking confirmation, pretrip email)10 x Finance email templates,(e.g. deposit required, payment received, balance due) 10 x Provider email templates (e.g. provider booking requests / confirmations / cancellations etc) and10 x Depot email templates (e.g. pretrip email, survey email)

Variable information

Email templates in MailJet will require that you insert variable information from Odyssey in order to customise your email.  For example, you will want to include a client's first and last name, a trip start date, the balance owing, or a provider name.  We call these variable fields merge tags.  Learn more about merge tags in Odyssey Here


3.  Once your email templates have been created, you need to link them to Odyssey

To do this:

  • Log in to Odyssey, and go to Administrator | Email Settings | choose whether you are linking a Customer Service, Finance or Provider email template | click on a Spare template, to edit it.
  • Give the template a new name, and paste the template ID from Mail Jet into the Mail Jet template ID field.  


  • This ID can be found by logging in to MailJet, opening the template and selecting "how to use this template" from the "Save and Publish" menu.

4.  Inputting information into Odyssey that the email communications require

Odyssey can push into MailJet multiple pieces of information from your departures, such as your client's names and other personal details, financial and departure info, provider info, etc. Here's a full list of these merge tags.

There are other locations within Odyssey for inputting data which can be fed into emails, e.g.  

Masters | Comms

This can be useful to store URL's relevant to this particular departure, e.g. a shared photo library, or route info


5. Learn how to manage email communications in Odyssey

Once your templates are set up in Mail Jet, and are ready for use, you need to understand how to USE the functionality from within Odyssey.  If you have the advanced email module, you can monitor when an email is due to be sent, whether an email has been sent, whether it has been opened, or bounced back, etc.  Learn more about being able to monitor and send your emails Here
